Sample Applications
GuestPass
is fully customized for every event.
Not only are all questions set to match exactly what the client
wants, but also the process and information flow is totally flexible and
can be adapted for almost any situation.
Here
are three samples, taken from paper forms to GuestPass:
Ø
Ticket Request
Form: Select employees of the client company were authorized
to request tickets to the US Open for client hospitality and originally did
so via paper forms that were faxed or mailed back to an administrator. Those forms were then manually
entered into a spreadsheet and forwarded to executives who would approve or
deny the requests by hand based on company criteria. Upon receipt of the executives’
decisions, the administrator would then email notification to employees
individually. With GuestPass, authorized
employees were emailed the link to a secure website where they filed one or
more request. The executive
review took place online within GuestPass and decisions were made using the
exact same criteria. With the
decision, the administrator then triggered an automatic, yet fully
customized email back to the requesting employee with the approval or
denial.

VIP Invitation and
Registration: This is a standard invitation and RSVP scenario where
a paper invitation and phone/fax RSVP/registration is streamlined using
GuestPass. The application of GuestPass begins
with the generation of the invitation where the client user is asked for
the details needed to generate and send the invitation. The invitee receives an email invitation
(can be a simple text email or elaborate Flash presentation, depending on
the client’s preference) that includes a link to his or her private
RSVP/registration form, and this form can be different for different
classes of guests or even for individual guests. GuestPass allows the guest to return to review and edit
his registration information at any time (this can be restricted to suit
each client's preferences), so he can make changes without contacting the
event staff. All changes are
immediately reflected in the system and in all reports. When all of the guest’s information
has been received and the information has been "approved" by the
event manager, the guest is automatically emailed a personalized thank you
email including final pre-arrival event details.

Agency
Intermediary: In this example, the event agency does not interface
directly with the guests, rather just with the client employees who are
bringing guests to an event. Through GuestPass, the authorized
employees are directed to a private website to complete online registration
forms for each of their guests.
This enables immediate, real-time delivery of this information to
the agency. Any necessary
changes are also made within the same website by the employees. This saves significant time as well
as potential redundant or lost communications within the event team. Finally, GuestPass simplifies
information and reporting access for both the client team and the agency as
all authorized staff has anytime access to all real-time, updated
information
